Business Support Administrator
Welling, Kent, DA16
Salary £22,000 per annum
Full time/Permanent role (37.5hrs), 08:30am – 5pm
Interviews will take place mid July.
We are currently recruiting for our client who are a registered mental health charity, they are seeking a Business Support Administrator to work within their head office based in Welling, DA16.
Our client is seeking someone who is experienced in taking minutes at board level as it will be an important part of the role, who is accurate and has a good attention to detail. Is good at prioritising, and has an empathetic way about them and is calm under pressure, and is used to supporting Managers and Executives.
·To support the executive and management team in all areas of business support and administration and be the first point of contact for people engaging with the company on the telephone or in person with visitors to the head office being greeted in a professional manner
·To distribute reports to the Executive Team in advance of Board meetings and to Senior Managers in advance of the Managers meetings, to take minutes at the meetings where applicable and ensure agendas, minutes and actions are distributed within agreed timeframe of the meetings.
·To work with the Chief Executive Officer on a number of matters providing administrative support where required, including but not limited to:
-Project research on statistical information
-To maintain contact lists for customer and donors
-To maintain relevant databases (as above)
-Executive Team diary management where applicable
-Responsible for administering monthly Trustee information updates
·To work with the People and Resources Director and HR Manager on a number of HR related matters providing administrative support where required, including but not limited to all matters related to:
-Occupational health administration
-Training and development administration
-Quality Project administration
-To develop and maintain DBS process and monitor process to make sure that employees, workers, Trustees are DBS compliant
-To make sure that all employee personnel files are kept up-to-date.
-To keep documents in the Central Admin Dropbox up-to-date.
-To prepare electronic induction packs and set up desk space for new recruits at head office and to ensure that new employees have the correct resources on their first day of employment.
-During the Pandemic all new joiners must evidence a negative test result before entering any of the companies buildings (this process is kept under constant review, in line with Government Guidelines)
-To keep up to date Trustee personnel folders
-To co-ordinate events, meetings and conferences with the relevant department or service. Some of these will be outside of normal office hours.
-To manage/co-ordinate diaries for all staff if applicable.
-To monitor the Info Mailbox as well as the Reception Mailbox daily and pass over relevant emails to the correct person.
-To be the first point of call for telephone enquiries and direct calls to the relevant member of staff or service and also to sign post calls to other services.
Also providing support to the Finance Teams, Head of Operations, Health and Safety and Facilities Manager.

-Good communication and organisational skills
-Proficient computer skills and in-depth knowledge and skills in MS Office Suite
